Managing your team and member roles

Inviting teammates Go to Settings → Members and send an invite by email. When the person registers with the invited email address, they automatically join your workspace with the role you chose. Approving requests to join When someone signs up using an email address on your workspace's domain, they don't join automatically - their request waits for your approval. If you can manage members, you'll see a highlighted Pending requests section at the top of Settings → Members (and a Pending tab if you prefer to work through them there). For each request you can: - Approve - click Approve to add the person with the suggested role, or click the small arrow beside it to Approve as a specific role: Team member, Approver, or Admin. Team member is the default. - Reject - click Reject and confirm. The request is removed and the person doesn't join. They can ask again later. You can't hand out the Workspace owner role (or anything above it) from here - that's reserved. Roles at a glance - Owner - full control of the workspace, including connecting Instagram accounts, billing and member management. - Admin - manages posts and members. - Approver - reviews and approves posts that require sign-off. - Team member - creates and edits posts. - Account owner - a special role for clients/brands: they can only connect and manage their own social accounts, nothing else. Handy when a client should provide the Instagram connection but the agency does the posting. Creating your own custom role Alongside the built-in roles above, workspace owners and admins can create custom roles with their own specific set of permissions. Go to Settings → Members → Custom roles and create a new role - pick exactly which actions it can perform (posting, approving, managing accounts, and so on). Once created, a custom role appears next to the built-in ones and can be assigned to any team member the same way, and edited or removed later from the same screen. Connecting accounts on behalf of a client Either the client logs in with the Account owner role and connects their Instagram themselves, or an agency owner connects it using the client's Meta credentials in a joint session - both flows are supported. Changing which brands an Account owner can see An Account owner only sees the brands you gave them. You can change that at any time, even after the invite was sent. - For someone who already joined: open Members, go to the People tab, and click Edit brands on their row. Tick the brands they should have and click Save. The new selection replaces the old one. At least one brand must stay selected. - For an invite that hasn't been accepted yet: open the Invites tab, click Edit brands on the invite, and save. The invite link they already received keeps working and its expiry date doesn't change. Use Resend if you also want to extend it. Expired invites can't be edited - resend them first. A brand change takes effect the next time the person signs in or their session refreshes, so they may not see it straight away. If an Account owner shows No brands assigned, they currently see nothing. Click Edit brands to give them access. Limiting an Admin, Approver or Team member to certain brands By default, Admins, Approvers and Team members can work with all brands. If you only want someone to see specific clients, you can limit them to chosen brands. - When inviting: pick the role, then untick All brands and choose the brands they should have. Leave All brands ticked for full access. If you untick it, at least one brand must be selected. - For someone who already joined: open Members, go to the People tab and click Edit brands on their row. Tick All brands to remove the limit, or choose specific brands and click Confirm. - When changing their role between Admin, Approver and Team member, their brand selection stays as it is. When you move someone into one of these roles from another role, you can choose their brands right away. A change takes effect the next time the person signs in or their session refreshes. Seeing who has access to which brands The brand picker shows how many brands you've chosen (for example "2 of 8 selected"). Once you have more than five brands, a Search brands box appears above the list. If nothing is selected, a reminder asks you to choose at least one brand, and Send stays disabled until you do. If your workspace doesn't use brands yet, the invite simply gives access to all connected accounts. Both lists now show access at a glance: - Invites tab: each pending invite lists its brands as small tags, for example Brand A, Brand B +1, or All brands when there's no limit. Hover over the tags to see the full list. - People tab: the Access column shows the same for each member, or Whole workspace for roles that always see everything. An Account owner with no brands shows a dash, because they currently see nothing. Account owners and Admins, Approvers and Team members are limited by brand, not by individual social account. To change someone's brands, use Edit brands as described above.

Inviting a client to connect their own Instagram

Often the agency runs the content, but the client owns the Instagram account. For that, invite the client with the Account owner role. How it works 1. Go to Settings → Members, invite the client's email and choose the Account owner role. 2. The client registers using that email and lands directly on the Accounts page. 3. They click Connect account and sign in with their own Meta credentials - no passwords shared with the agency. What the client can (and can't) do An Account owner can only connect and manage their own social accounts. They don't see posts, the calendar, team settings or billing - so you can safely invite clients without exposing your workflow. Alternatively, the agency can connect the account in a joint session using the client's Meta login - both flows are supported. Or send a one-time connect link (no account needed) If the client shouldn't create a Flomixy account at all, use Accounts → Invite client to connect: 1. Tick every network the client should connect - Instagram, Threads, Facebook and so on. One link covers all of them. 2. Optionally add a label (for example the client's name) so you can tell links apart. 3. Click Create link, then copy it and send it to the client. The link is shown only once. The client opens the link, sees one Connect button per network and signs in with their own login for each - they can do them one at a time and the link stays open until all are done. Every connected account lands in your workspace. In the Connect links table each network shows as connected or pending, so you can see what is still missing. Links expire after 7 days; if the client only connected some networks, create a new link for the rest.

Managing your brands

What a brand is If your workspace manages social accounts for more than one client or product line, brands let you group Instagram, Threads, and Facebook accounts together so they're easier to find and report on. A brand is just a label with a name and an optional colour - it doesn't change who can post or what gets published. Where to manage brands Go to Settings → Brands (Workspace Owner / White-label Owner only). From there you can: - Create a brand - give it a name and, optionally, pick a colour swatch so it's easy to spot at a glance. - Rename or recolour a brand at any time. - Delete a brand - this does not delete or disconnect any accounts. Accounts that were assigned to a deleted brand simply show up as Unassigned again. Assigning accounts to a brand Open a brand's card and use Manage accounts to pick which connected Instagram, Threads, and Facebook accounts belong to it. An account can only belong to one brand at a time - picking a different brand moves it, it doesn't add a second one. You can also assign or reassign an account's brand directly from the Accounts page, where connected accounts are grouped by brand automatically. Using brands elsewhere in Flomixy Once you have brands set up: - The Accounts page groups your connected accounts by brand, with an Unassigned group for anything not yet sorted. - The topbar Brand switcher lets you filter the account picker down to one brand at a time. - Printable client reports (from a brand's card) build a one-brand, one-date-range PDF-ready summary across all of that brand's connected accounts. The composer always follows your current brand When you open New post, the Destination step only lists accounts that belong to whichever brand is currently selected in the topbar switcher - grouped by network, with nothing pre-checked. This keeps you from accidentally publishing to the wrong client's account. If you switch brands in the topbar while you're still composing, the Destination step updates to that brand's accounts and clears any destination you'd already picked (you'll see a toast confirming the switch) - your media and caption stay exactly as they were. Connected apps: see who has access and revoke it

When you connect an app or AI assistant to your workspace (for example, an AI assistant that schedules posts for you), it appears under Settings → Connected apps. You see the apps you connected yourself. Workspace owners also get a Members tab with the apps other members connected. What you see For each connected app: - Name of the app and the workspace it can access (or "All workspaces"). - Access level: Read-only, Read & write, or Full access when it holds every permission. - Areas it can reach, such as Posts, Media or Analytics. A pencil means it can change things there, an eye means it can only look. - Last used: when the app last did something in your workspace, or "Never used". If it has not been used for 30+ days, you will see a hint, which makes it a good candidate to revoke. Click Show all permissions on a row to see every individual permission in plain words. Permissions marked Sensitive (for example, managing workspace settings) deserve a second look before you keep them. Finding a member's app On the Members tab (workspace owners only), use the search box to find an app or a member by email. Revoking access 1. Open Settings → Connected apps. 2. Click Revoke next to the app. 3. The dialog lists what the app will no longer be able to do. Confirm with Revoke. The app disappears from the list and loses access immediately. Its next request is rejected. You can connect the app again later, but it has to ask for permission again. Related articles - Managing your team and member roles
