Getting posts approved before they publish

If your workflow requires sign-off (for example an agency publishing on behalf of a client), turn on Require client approval in the composer's Approval step and pick an approver from your workspace members. How it works - A post that requires approval will not publish - even at its scheduled time - until it is approved. - The approver reviews the post on a dedicated review page and can either Approve it or Request changes with a note. - When changes are requested, the post's author - and the approver, if one was assigned - get a notification in the bell and an email right away, so you don't have to keep checking back. The note is attached to the post so you know exactly what to fix - it's shown right on the post's detail page, with a Send for review button next to it - once you've made your edits, click it there to notify the approver again without leaving the page. - If the note doesn't actually need a change to the caption or media - for example the client just wants the time moved, or the note doesn't apply anymore - click Mark as resolved next to it instead. This clears the note and sends the post back for review without requiring you to edit anything first. You can add an optional message of your own, which will be included the next time you send the post for review. - Once approved, the post publishes at its scheduled time as usual. Tips - You can change or clear the approver at any time before submitting - click the selected person again to deselect. - The Approvals page lists everything waiting for review in one place, and also has its own Send for review action for any post that's still pending. The Changes requested tab also offers Mark as resolved from its own menu, so you can clear a note without opening the post.

Approving or deleting many posts at once

Open Approvals in the main menu to review everything that is waiting on you. Instead of handling posts one by one, you can select several and act on all of them together. Select posts - Tick the checkbox at the start of a row to select that post. - Tick the checkbox in the table header to select every post currently shown. If only some rows are ticked, the header box shows a dash. - Switching tab (Pending, Changes requested, Approved) or changing the source filter clears your selection. Bulk actions As soon as something is selected, a bar appears above the table with the number of selected posts. - Approve (Pending tab, if you have approval rights) approves all selected posts. - Delete (if you have delete rights) asks you to confirm first. Nothing is deleted until you click Delete in the confirmation window. - Clear selection deselects everything. Deleting here removes the posts from your workspace only. Posts that are already live on a network are not removed from that network. What happens to posts that cannot be approved Some posts are skipped instead of approved, for example posts that are already published or approved, posts that are waiting for a different approver, or posts that have not been sent for review yet. When the action finishes, a summary tells you how many posts were done and how many were skipped, and why (for example "Approved: 9 · Skipped: 2 — awaiting another approver (1), already published (1)"). Posts that failed because of a temporary error stay selected so you can try again. Good to know - You only see the checkboxes and buttons for actions your role allows. - Approving on behalf of the client is not possible through the AI assistant; approvals are always made by a person in the app. Related articles - Approving a post as a client or approver
